Housekeeping mobile rollout

The housekeeping app closes a loop that is embarrassingly still on paper at many properties: a maid finishes a room, marks it clean, and the PMS knows within 30 seconds so reception can move an early check-in in. Here is how we onboard a housekeeping team, from device pickup to the first clean-room ping.

Devices and network

The app runs on iOS 15 and Android 9 or newer. Most of our onboarding cohort uses recent budget Androids — a Xiaomi Redmi 12 or a Samsung Galaxy A15 works fine. Nine hotels out of ten already own enough spare devices; the rest we help procure through a Polish reseller who does 24-month leasing at around 40 PLN per device per month, MDM included. Make sure your Wi-Fi covers every floor and every stairwell. Housekeeping in a basement or a rooftop bar with no signal is the fastest way to lose staff trust.

Creating the user accounts

Open the Room Profit dashboard, Modules, Housekeeping, Team. Create one account per staff member with their first name and last initial — full last names on shared devices are a data-minimisation concern. Assign a role: Room Attendant, Supervisor, Public Areas, Laundry, Maintenance. Roles determine what the app displays. Supervisors see the whole floor board; Room Attendants see only their assigned rooms for the day.

First login and pairing

The maid opens the app, enters the property code (four letters, shown at the top of the Team screen), and scans a QR code. No password. The device pairs to the account; from then on the app opens straight into today's board.

Language and accessibility

Interface language defaults to Polish. Ukrainian, English and Russian are one-tap. Cleaning teams in Warsaw and Krakow often mix languages within a shift; the app allows each user to pick their own. Icon-first design means low-literacy users can still work the app — every button carries a pictogram.

Room-type checklists

Every room type gets its own checklist, mirrored from a template we ship. A standard double has around 18 items — bed made with fresh linen, bathroom scrubbed, complimentary water replenished, remote batteries checked, minibar restocked, hairdryer cable coiled. A suite adds 9 more — welcome amenity replaced, coffee capsules restocked, second bathroom. Editing checklists is drag-and-drop; changes propagate to devices within seconds.

Daily board and assignment logic

Every morning at 07:00 the app pulls the day's arrival, departure and stayover list from Profitroom. The supervisor's board shows a Kanban across four columns: To do, Doing, Ready to inspect, Clean. Room assignment follows two rules by default — balance workload by minutes of expected work per attendant (a suite counts as 45 minutes, a standard as 22), and keep each attendant on one floor to save walking. Supervisors can override.

PMS status write-back timing

The moment a room passes the "Ready to inspect" or "Clean" step, the app writes back to Profitroom Suite through the Rooms API. Under normal conditions the PMS reflects the new status within 20-30 seconds. Reception sees the green tick almost live and can move an early-arrival guest in without a phone call. Under Profitroom Suite's overnight maintenance window the delay can grow to 3-4 minutes — this is documented in the Profitroom status page.

Lost and found flow

Every checklist ends with a lost-and-found step. If the maid finds an item, they photograph it, tag the room, and select a category (electronics, clothing, jewellery, documents, other). The app stores photo and metadata for 90 days by default, or 180 days for high-value categories. When a guest calls, reception searches by check-out date and category. If we cannot match within the retention window, items are marked disposed. This flow satisfies the Polish civil code requirement to hold found property for a reasonable period.

Maintenance tickets from the maid

A broken shower, a burnt-out bulb, a stain on the carpet — the maid raises a ticket in three taps. Tickets route to the maintenance role by default, or to a specific person if you configure it. Photos attach automatically. Reception sees an open-ticket count on their Profitroom Suite dashboard.

Supervisor inspection

Supervisor inspections happen on the same device. When a maid moves a room to Ready to inspect, the supervisor gets a push. Inspection is a short checklist — bathroom, bed, floor, replenishment. Passing an inspection writes Clean back to Profitroom. Failing an inspection reopens the room to the same attendant with a note.

Rollout timeline that works

  • Day 0 — devices distributed, accounts created, one supervisor trained for 45 minutes.
  • Day 1 — supervisor trains their team of attendants in one 30-minute stand-up.
  • Day 2 — soft launch on one floor, paper kept as backup.
  • Day 5 — extend to all floors.
  • Day 10 — turn off paper.

What we do not do

We do not location-track staff. We do not silently record. The app is deliberately narrow in scope so cleaning teams do not feel surveilled.
